The check-in tablet

What it's for

Check-in is a mode of the center's device — the same app as the Center display. Instead of the day's wall board, it shows the grid of people expected at the center today.

Each person appears with the name they use every day, always in the same colour. If two people share a name, a last-name initial is enough to tell them apart: no full surnames on a shared screen.

Every check-in lands directly in the educators' attendance register: no parallel list is ever created, and staff can correct or complete each entry from the center's app at any time.

Pairing the tablet

You need a tablet (or a touch-screen computer) near the entrance, connected to the center's network.

• Open Insieme on the tablet: on first start it asks how the device will be used. Choose “Entrance check-in”.
• The tablet shows a six-character code and a QR code.
• From the Admin app: Settings → Devices → Pair tablet, then enter the code. With the QR, just scan it with a phone camera and confirm.
• Choose the center, give the tablet a name (for example “Entrance Tablet”) and approve.
• The tablet connects on its own: the grid starts without any further steps.

How an arrival is recorded

On arrival, people see today's grid. They tap their own name, the tablet asks for confirmation with one large button (“Yes, I'm here”), and shows a short confirmation with the time.

If the same person taps twice, the tablet replies that they are already here — and since when. There is no way to create duplicate records.

If an absence was reported for someone, their name stays on the grid marked “Planned absence”: if they do show up, they check in normally. The educator sees everything in the register and can adjust the details.

Management and settings

Everything is managed from the Admin app, under Settings → Devices: see paired tablets with their status (online, lagging, offline), rename them, change their center, and tune two grid options.

• Show initials avatars: the coloured circle next to each name.
• Show participants already checked in: when off, people who already checked in leave the grid to those still arriving.
• Rotate credential: if a tablet needs to go back to pairing (for example after a replacement), the old credential stops working immediately.
• Unpair: permanent revocation. The device can no longer access the center's data.

Privacy and safety

Nothing personal appears on the tablet: only the everyday name, a disambiguation initial when needed, and today's attendance state. No full surnames, dates of birth, contacts or notes.

The tablet is not a staff account: it can only see today's grid and record arrivals. It cannot view or change anything else about the center, and revoking it from the Admin cuts it off within seconds.

Every record carries its origin (the tablet, with its name) in the activity log: you can always see what was recorded by check-in and what by educators.

If something goes wrong

If the network drops, the grid stays visible with an “Offline” badge and taps show a clear message: “No connection. Please ask a staff member.” No attendance is ever recorded without the server: a manually recorded arrival beats a made-up one.

If the tablet lags behind or shows the wrong day, it fixes itself once the network returns: the day and times always come from the organization's timezone, never from the tablet's clock.

To start pairing again (replacement, relocation), use the bottom-right menu: “Start pairing again”, or “Switch device” to go back to choosing between display board and check-in.
